Use this checklist to deploy Wi‑Fi QR codes at venues with consistent scan success and fewer guest questions.
Ready to put this into practice? Generate a free WiFi QR code now and test it on one iPhone + one Android device.
Before you generate
- Confirm the guest SSID name and security type (WPA2/WPA3 recommended).
- Choose a strong password and decide your rotation cadence.
- Decide where QR codes will be placed: entry, tables, counters, or lobbies.
Generate and test
- Create the QR with exact SSID/password and correct security type.
- Export at 800–1200 px for print; 300–600 px for screens.
- Test on one current iOS device and one current Android device.
- Check for scan speed under venue lighting (bright, warm, or dim).
Printing and signage
- Use matte stock or non-glossy finishes to reduce glare.
- Keep a 4–6 module quiet zone around the QR.
- Add a caption: “Scan to join guest Wi‑Fi.”
- Include a fallback line with SSID and password for accessibility.
Placement rules
- Place at eye level and avoid curved surfaces.
- Keep the QR away from bright reflections or direct sunlight.
- Post near areas where guests naturally pause (reception, check-in, seating).
Operations and rotation
- Rotate guest passwords on a schedule; reprint and replace signage.
- Add “Last updated” on printed cards and remove old copies.
- Keep a digital backup of the QR in case of quick reprints.
Common failure points
- Wrong security type selected in the QR (WPA2 vs WPA3).
- Low contrast or small QR size; increase size and margin.
- Hidden SSIDs prompting manual confirmation; prefer broadcast guest SSIDs.
FAQ
How often should I replace printed QR signs?
Replace them every time you rotate guest credentials. Remove all old copies on the same day.
Which devices should be included in QA?
At minimum test one recent iPhone and one recent Android device in actual venue lighting.
What setup issue causes most join failures?
Mismatch between router security type and QR payload (for example WPA2 vs WPA3) is the most common issue.
